About the group and team

Creating and maintaining a creative, fun, safe and productive workspace will be the personification of being part of the Vibe team. This includes everything from planning future spaces, keeping our existing space functioning efficiently, to preparing healthy meals. This role will allow us to look into the future, strategise and tackle the problems that will have the biggest impact at Canva and map to our goal of making the most productive and inspirational place in the world to work.

About the candidate

The mission of the Operations Business Partner is to bring together all ongoing projects of PH Growth and drive them to unilateral success by coordinating and communicating between key project owners. Working closely with Leadership, you will be the organiser and the driver of projects, events and other fundamental administrative requirements, your work will impact millions of Canva’s global users - laying foundations for scalable growth at Canva for years to come.

Using your experience with program management, administration, and relationship-building this role will work with cross-functional teams and working groups to build the foundational support systems for our PH Growth squad. Helping Canva to achieve the level of operational efficiency, cooperation & collaboration that our front-line teams need to hit our goals.

What you'll do:

  • Own operations and administration. We are looking for a facilitator of outcomes who can partner with our leaders to alleviate operational and administrative inefficiencies within their groups, proactively look for ways to improve how we work and to help manage team communications and forums. You'll be responsible for handling multiple calendars including resolving overlapping commitments and protecting time for priorities, as well as helping to drive and facilitate key meetings within PH Growth.
  • You take charge and ensure we have built well-oiled operating cadences and administrative processes that are crucial to us hitting our Goals. This means you would need to ensure PH Growth meetings are carried out by managing calendars, defining objectives, purpose and agendas, tracking initiatives and assisting with seasonal goals, and constantly iterate on this as Canva grows.
  • Support stakeholders. You will develop strategies for keeping all relevant teams and stakeholders up to date and aware of strategic initiatives & opportunities for collaboration. You are proactive in facilitating relationships between cross-functional stakeholders to ensure concerns are anticipated and raised early to appropriate owners in order to resolve issues that prevent progress.
  • Provide event, venue and logistical operations support, whether online or onsite, that are of the highest quality and impact on our workspace and ensure the team can lean into diversity and inclusion efforts which can aid the productivity of our employees and guests. This also means ensuring all paperwork, documentation and permits needed to launch a particular program or event. 
  • Drive initiatives forward: You will oversee milestones and timelines, manage communications, and collaborate with cross-functional working groups to deliver on objectives, assisting by working with stakeholders to track statuses and escalate issues as needed. A strong example would be tracking of progress within the social media space whether it’s counting the numbers or capturing some feedback during a campaign.
  • Foster collaboration. Using your experience with program management, administration, and relationship-building, this role will work with cross-functional teams and working groups to build the foundational support systems for our team. Helping Canva to achieve the level of operational efficiency, cooperation & collaboration that our front-line product teams need to hit our goals.
  • Make Complex Things Simple. Some things in our team can be a little complex. You will be able to work across big picture initiatives with the ability to break assignments down into manageable efforts and ensure they are able to be tracked and delivered.
  • Represent our team and partner effectively with stakeholders such as space planning, travel bookings/requirements and other administrative duties in the org.
  • Having fun at work and helping others do the same. You will champion team celebrations within Product and Growth spaces in MNL. This means you will rally teams and ensure that they celebrate their milestones no matter how big or small. You’d also have to work with them in creatively and uniquely creating opportunities and ways to celebrate.
  • Budget Management. You are tasked to keep track of expenses and budget for events, programs and projects hosted by PH Growth. Our goal is to ensure that we do not go over what is necessary while staying aligned to our purpose and goals.
  •  
  • Vendor Management. Some events and projects would need external help such as from agencies, contractors or other forms of vendors, your goal is to keep these external partners aligned by providing timely and relevant communications and documentation. 
  • Campaigning Internally and Externally. You’d be expected to rally teams and seek their help to support any campaigns or initiatives PH Growth would be organising. You need to be like an ambassador promoting your events and projects internally or externally or both.

You’ll love this role if:

  • 4+ years of experience with Program or Project Management, or similar.
  • Experience prioritising, managing and tracking multiple projects simultaneously with the ability to work autonomously in a fast-paced, high-growth environment.
  • Experience gathering ambiguous requirements and breaking them down into actionable next steps - such as resource organization, task prioritization, scheduling and achieving objectives on schedule. 
  • A keen eye for detail and a strong desire to uphold high standards of excellence
  • Experience communicating with all levels of an organisation and navigating internal stakeholders to solve complex challenges
  • Truly self-motivated with a desire to constantly learn, develop and grow in an inaugural role with visibility on the critical decisions that impact the continued success of Canva and its teams
  • Integrity and trustworthiness with humility/willingness to question one’s own assumptions
