Create designs in bulk with Canva Sheets

Produce personalised designs using your stored data in Canva Sheets. Whether you're making business cards, certificates, or campaign creatives, this method saves time — no file uploads required.

This feature is available to Canva Pro, Canva Teams, Canva Education, and Canva for Nonprofits users on desktop only.

1. Prepare your data in Canva Sheets

Start by opening your Canva Sheet and preparing the content you want to turn into designs.

  • Select your range: Highlight a contiguous block of cells (e.g., A2:C10). Disjointed or empty cells won’t work.
  • Keep content types consistent: Each column should contain only text or only images. Direct image URLs (e.g., links from websites) are not supported. Instead, upload images directly or use those stored in your Canva library.
  • Avoid unsupported content: Only the first media item in a cell will be used. Unsupported types will be skipped automatically.

Once your data is ready, click Actions in the toolbar, then select Bulk Create designs.

2. Choose a design to connect your data

Select a pre-existing design to connect your data to. A live preview will show how your content maps to each element.

3. Map your data to the design

Select any element in your design, then select More ( … ) and choose ➕ Connect data. This links text or image elements in your design to the corresponding fields in your Sheet.

For more control, open Advanced settings to:

  • Choose between creating one multi-page design or individual files per row.
  • Pick a folder where we’ll save your new designs.
  • Set how your files will be named using dropdown options.

If no design is selected yet, you’ll be asked to pick one before linking data.

4. Preview your designs

Before generating, you can preview how each design will look with your data applied. This helps you catch issues early and avoid generating designs you don't need.

  1. After you select ‘Connect data’, select Preview to see how each row appears in your design.
  2. Check that text, images, and other elements display correctly for each row of data.
  3. If you spot an issue, select Close to adjust your data connections.
  4. Once satisfied, select Continue to proceed to generation.

Tip: Use the preview to verify that placeholder elements are replaced with the correct data before committing to the full batch.

5. Create your designs

When you're ready, click Create designs. Canva will generate one design for each row of data you selected, and place a clickable link to that design in the cell directly next to the last column of your original selection.

6. Review your designs

Once complete, you’ll see a new column beside your data with links to each generated design.

Limitations to keep in mind

  • Videos appear as a still frame in preview. Your generated designs will include the videos as expected.
  • Some 3D elements may not display correctly in preview. Generate a test design to confirm they appear correctly.
  • Media replacement in preview works only when your media comes from a Canva Sheet connected to your design.
  • You must manually select your data. Disjointed or blank ranges will not work.
  • Each column must contain only one type of content, such as text or images.
  • Only the first media item in a cell will be used.
  • Unsupported content types will be skipped. You will see a notification if this happens.
  • The 300-row and 60-column limit applies only when you use the Bulk Create app. Canva Sheets do not have a specific row or column limit.

FAQs

Why don’t I see the Bulk create option?

Make sure you’ve selected at least two rows or columns with content. Disjointed selections won’t work.

Can I use a blank sheet?

Yes, just enter or paste your data. The Bulk Create option appears once there’s content.

Can I use image URLs in Bulk Create?

No. Image links won’t work. Upload your images or pick from your Canva library to use them in your design.

Why do videos appear frozen in my preview?

Previews show the first frame of videos only. Your videos will play normally in your generated designs.

Why aren't 3D elements showing in my preview?

Some 3D elements may not display in preview mode. Generate a test design to confirm they appear correctly in the final output.

Want to use a file or add data manually instead?
