Restrict design sharing


As a team owner, you can choose who can share designs outside of their brand. Updating the sharing restrictions will only be applicable to new designs. Previous designs that have been shared externally can still be accessed externally.

Restricting design sharing is available to Canva Enterprise and Canva Education.

The sharing setting is set to team admins and brand admins only by default. Follow the steps below to update the settings.

Restrict design sharing

  1. From the homepage, go to your account profile, then select
    Settings.
  2. Select
    Permissions.
  3. Go to the Share and publish tab.
  4. Select the
    dropdown icon to update the settings on these fields:
    • Who can share designs externally via links?
    • Who can share designs to external emails?
  5. Choose who to assign access to:
    • Everyone
    • Team admins and team brand designers
    • Team admins only
    • No one
  6. Add domains to your allowlist to enable private embeds, to add secured domains where all members can share private embeds.

Non-restricted users, such as team admins and brand admins, can still share designs of restricted team members externally even when restricted sharing is enabled. Team members will be able to see that their design is being externally shared, but they won't be able to see the created Public view links.

Team members will still be able to share the design with their peers in the same brand. However, they won’t be able to:

  • Create a public view link
  • Create a website
  • Share the design via email
  • Copy the design to another team
  • Use the Q&A feature on presentations
  • Use embeds
  • Use the present and record

In addition, team members outside of the brand will not be able to request access to a design of a restricted team member.

Learning management system (LMS) sharing and restricted design sharing

When restricted design sharing is enabled, learning management system (LMS) sharing works only if teachers and students are in the same school.

LMS sharing doesn’t work across different schools because of external sharing restrictions.

Disable restricted design sharing

Restricted design sharing (restricted sharing) controls who can share designs outside their team or school. When restricted sharing is off, people in your organization might be able to share designs more widely, based on your organization’s settings.

Choose how to disable restricted sharing in your organization

Turn off restricted sharing for multiple schools or teams

If your organization has more than one school or team, your role determines how you turn off restricted sharing.

Admins

Admins can request to turn off restricted sharing for specific teams or for the entire district. Before submitting a request, confirm which school or brand(s) the change should apply to.

Non-admins

If you’re not an admin, ask your school team admin to submit the request for you. If they approve it, restricted sharing can be turned off for the whole district.

Turn off restricted sharing for a single school or team

If your organization includes one school or one team, restricted sharing can be updated directly in account settings.

Admins

Follow the steps in Restrict design sharing to update your sharing settings. To disable restricted sharing, change the sharing options to Everyone.

Non-admins

Ask your school team admin to update these settings for you.
