Copy designs or files to another team or account

If you need to move designs, files, or folders between your personal account and a team workspace, or between two Canva accounts, this guide walks you through the best way to do it.

You’ll find step-by-step instructions for copying between teams or between accounts, copying multiple items at once, and the limits that apply.

Locked out of your account? If you can’t access a previous school account after SSO was enforced, you can still copy your content. See Copy content to your school or district account.

Check if you're copying between teams in the same account, or between different accounts

  • Account: Your Canva login, connected to a specific email address. Each account has its own login credentials and profile settings and can be part of multiple teams.
  • Team: A shared workspace where multiple people collaborate. You can switch between teams within your account by selecting your profile picture, then choosing a team under Switch team.
  • Source: The account or team where the design currently lives before being copied or moved.
  • Destination: The account or team that will receive the copied design after the transfer.

For example, you may want to copy a design from your personal account to a work or school team. In this case, the personal account is the source and the work or school team is the destination. This applies whether you are copying between accounts or between teams in Canva.

  • Unlisted media: Media created by editing tools (like Background Remover) that don’t appear in Uploads and don’t count towards your storage.

Steps to copy multiple items at once

To copy multiple items, move them into a folder first. Then copy that folder to the destination team.

This is only possible if you’re copying in bulk between teams, not across accounts.

You can move items (Designs, Brand templates, Images, Videos) to another folder from the Homepage, Projects page, Editor, and from inside folders.

Note: You can't move items to a folder if the designs are shared from a different team or if you're not part of that team.

  1. From the source team’s homepage, go to
    Projects.
  2. Hover over each design, file, or folder and select the checkbox. You can select multiple items. Brand Templates can’t be copied this way.
  3. Select
Move. Choose where to move the items:
    1. To an existing folder:
      • Folders you recently used will appear under the Recent tab, while all your folders (both owned by you and shared with you) will be under the All tab.
    2. To a new folder:
      • Go to the All tab.
      • Select Your Projects.
      • Select + Create new, name your folder.
      • Select Move to new folder to confirm.

Copy designs, files, or folders between teams in the same account

If you can access both teams by switching teams within your account, follow these steps:

  1. Log in to the source team. Not sure which team you're in? Learn how to switch between teams.
  2. From the source team’s homepage, go to
Projects and find the design, file, or folder you want to copy.
  3. Hover over the item and select
    More.
  4. Select
Copy to Another Team (this option only appears if your account is part of two or more teams).
  5. Choose the team where you want to send the copy.
  6. Select Copy to confirm.

The copied design will appear in the destination team’s Projects.

You can only copy one item at a time. Repeat these steps to copy more.

Copy designs, files, or folders between different accounts

If you have to log out to access the other team, follow these steps:

  1. Make sure you're logged in to the source account and team. Not sure which account or team you're in? Learn how to switch between teams.
  2. Go to
Projects to find the design, file, or folder.
  3. Hover over the item, select
    More, then choose
    Share.
  4. Enter the email address of the account you want to copy it to.
  5. Set the permission to Can Edit, then select
    Share to confirm.
  6. Log out of your current account, then log in to the one that received the shared design, file, or folder.
  7. Open the shared item from your email or the
Notifications icon in the Canva homepage.
  8. From the top menu, select File, then choose Make a copy to duplicate the item in your current account.

You’ll find the copy in the destination team’s Projects.

Manage who can copy content across teams

Only admins in Canva Enterprise, Canva Teams, Canva Nonprofit, or Canva Education accounts can manage this permission.

By default, only team admins can copy designs across teams. Admins can change this setting to allow Everyone to copy designs, or apply it to specific roles, groups, or classes.

In Canva Enterprise, team admins manage this permission for their team. Organisation admins can set the default for all teams and choose whether team admins can change it.

Set who can send copies of content outside the team

  1. From the homepage, go to your account profile, then select
    Settings.
  2. Under Controls and permissions, select
    Permissions.
  3. Select the All permissions dropdown, then choose Share and publish.
  4. Set (Who can send copies of their content outside the team?) to your preferred option. You can Select Roles & Groups (Classes for Education teams) or select Everyone.
