What’s new: Brand Templates


We’re rolling out improvements to Brand Templates to help teams manage brand content more securely and efficiently.

These updates will give admins and brand designers better control over how templates are managed, while making it easier for teams to organise and find what they need.

What’s changing in Brand Templates

Better control and smarter organisation for teams

  • Centralised access control: All admins and brand designers decide who can view or edit each template.
  • Safe republish workflow: Template changes only go live once they’re approved and republished, ensuring that team members don’t use unfinished or inaccurate templates.
  • Secure template access: All Brand Templates remain within your team account to protect brand assets and maintain brand integrity.
  • Smart tagging: Tags can be added to templates to improve searchability and make them easier to find.

Your next steps

For most users, Brand Templates have been seamlessly upgraded. However, you may need to do a few things for some templates.

  1. Allow external sharing with a design copy. If you’d still like to share a template outside your team, copy it and share it as a view only design.
  2. Republish or delete templates with open comments and/or recent changes. A draft has been created and can be found in the ‘Unpublished changes’ section for your review. To resolve these.
    • You can republish a copy to apply its changes to the corresponding original Brand Template. This will also delete the copy.
    • If the changes are no longer needed, you can delete copies individually or in bulk with the multi-select function. This won't delete original Brand Templates.
    • The original unedited Brand Template can still be used while the copy exists.

Frequently asked questions

Why do I see “Unpublished Changes” when I haven’t edited any originals?

As part of recent updates, any comments and comment history are now deleted when a design is published as a Brand Template or when a Brand Template is republished.

To help preserve your feedback and ongoing work, we’ve moved:

  • Templates with comments, and
  • Recently edited templates

into Unpublished Changes, so active work isn’t disrupted. This allows you to review any important notes before deleting the copies.

Note: It’s a one-time action to protect your team’s in-progress work—your original Brand Templates are still available and editable as usual.

To publish your template:

  1. Go to
    Brand, then All Brand Templates.
  2. Select Unpublished Changes.
  3. Review any edits or comments.
  4. Select Republish with changes to apply the changes.

My Brand Templates aren’t showing up like before

Brand Templates shared via collaboration links will now only be visible to admins, brand designers, or users with direct access (shared directly or via folder access). This change helps keep your brand content secure and limited to your team. To re-share access, you can:

  • Move Brand Templates into a shared folder, or
  • Re-share them manually to make them accessible again.

To help protect brand content, public access to Brand Templates is no longer supported. Only team members within your Canva organisation can view them.

How do I share Brand Templates with external people now?

You can make a copy of the Brand Template and share it as a view-only design. Check out Share your Canva design and collaborate with anyone to learn more.

This keeps your brand content secure while still allowing others to view it.

Why did our external collaborators lose access?

To strengthen brand control, external sharing of Brand Templates has been been phased out. Brand Templates now only work within the team.

To keep collaborating, you can make a copy of the Brand Template and share it as view-only design.

About Brand Templates that exceed system limits

Why wasn’t my Brand Template migrated?

If your Brand Template wasn't migrated during the recent update, it might be due to exceeding certain system limits, such as media, font, or embed restrictions. Check out Upload formats and requirements to know more.

In such cases, these templates were automatically converted into regular designs to ensure continued accessibility.

Can we still use them?

Yes! They’re still available—you may need to trim them down or rework them before republishing them.

About Live Websites published as Brand Templates

Are live websites affected by Brand Templates migration?

Yes, migrating Brand Templates linked to live websites can cause them to break. These were converted to regular designs to ensure the live website remained active. You can make a copy without turning the design into a live website and re-publish it manually as Brand Templates if needed.
