Import data into Canva Sheets
Import data to power your Canva Sheets. Upload a CSV or XLSX file or pull from another Canva Sheet - then use your data in charts and tables that stay in sync automatically.
Data connectors are only available on Canva Business and Canva Enterprise subscriptions.
Import data to Canva Sheets
- Open a Canva Sheets design.
- On the floating toolbar, select Actions, then click Import data.
- Choose a data source:
- Select a third-party app like Google Analytics, or HubSpot. (optional)
- Or select Upload to import a CSV or XLSX file from your device.
Tip: After your data loads, you can use Data Actions to clean and organise it before importing. See Clean imported data with Data Actions below.
4. If you selected a third-party app, sign in and grant Canva permission to access your data.
5. Choose the dataset you want to use.
6. Click Done to sync the data with your sheet.
Clean imported data with Data Actions
After your data loads, you can use Data Actions to clean and organise it before importing it into Canva.
- Select Data Actions.
- Select a Data Action.
- Preview the changes.
- Select Save & Apply.
- To review your applied Data Actions, select Applied Actions.
Available Data Actions
Currently available Data Actions include:
- Find and Replace – Replaces values based on exact matches.
- Fill Blank Cells – Fills blank cells with a value you specify.
- Swap rows with columns – Switches rows and columns in the imported data.
Note
Data Actions only affect the imported copy of your data in Canva. Your original data source isn't modified.
Use imported data
When you import data apps like HubSpot or Google Analytics from the Apps tab in other design types (like presentations or docs), Canva creates a chart to visualise your data.
To work with raw data in table format, you'll need to open Canva Sheets, go to Actions, then select Import data. This is currently the only way to insert third-party data into spreadsheet cells.
Understand how data ranges work during refresh
After you import your data , Canva Sheets creates a data range, a rectangular area of cells that holds all the connected data. For example, if your data includes four columns and 20 rows, the range would likely span from cell A1 to D20.
This range is what Canva uses to manage and update your connected content.
When you refresh your connected data, this will:
- Clear the existing data range – Canva deletes all content within the defined range.
- Fetch the latest data – Canva retrieves the updated dataset from your external source.
- Create a new range – The size of the range updates dynamically depending on the new data’s dimensions.
- Populate the sheet with new data – The refreshed content fills in the newly defined range.
Understanding how you manage and structure your sheets helps you maintain accurate and consistent data views while safely adding manual entries around (but not within) your connected data range.
- Data reduction: If the updated data has fewer rows or columns, Canva will not preserve the “extra” cells from the old data. For example, if your original data had 20 rows but the refreshed data only has 15, rows 16–20 will be deleted.
- Preservation outside the range: Any data you’ve manually added outside the defined range will remain untouched. This means annotations, formulas, or content adjacent to the data range won’t be affected.
- Column changes: If the number of columns in the source data changes during refresh, the range automatically resizes. Columns may be added or removed to reflect the updated dataset.
FAQs
What file types can I import into Canva Sheets?
You can upload CSV and XLSX files up to 25MB in size.
Why didn’t my data appear in the sheet?
If you opened a data app from the Apps tab, Canva created a chart instead. To insert editable table data, use Canva Sheets and go to Actions, then Import data.
Will my data stay connected after I import it?
Most data sources remain linked and can be refreshed. Some may need reauthorisation if they become inactive.
Can I import data from third-party apps on Canva Free?
Data connectors are only available on Canva Business and Canva Enterprise subscriptions.
Why can’t I connect to a source or upload a file?
- Make sure your login credentials are correct.
- Ensure your admin has granted Canva API access (permission for Canva to connect to your other tools).
- Check that your file is supported (CSV or XLSX) and under 25MB.
