Canva on Google Workspace


Canva is now available on Google Workspace. You can find Canva on the Google Workspace Marketplace.

With this add-on, you can now seamlessly integrate tools such as Gmail™, Drive™, and Calendar™ with your Canva account.

There are three ways to use Canva with Google tools:

  • Save Canva designs as shortcuts in Drive™
  • Attach Canva designs to Calendar™ invites and events
  • Streamline emails with embedded Canva designs

Setting up Canva on Google Workspace

Visit the marketplace here and select Install.

Please note that admin approval or installation may be required to access the Canva for Google Workspace add-on. If this is the case, please request access from or feel free to share the app with your Google Workspace organisation admin.

Once installed, follow these steps to set it up:

  1. Select the Canva icon on the side panel below your avatar. This will expand the homepage and prompt you to grant Canva access to your Google account.
  2. Select Authorise access. A pop-up window should appear.
  3. Choose the Google account you’d like to grant Canva access to.
  4. Select Continue.
  5. Select Continue, then Allow.

Using Canva on Google Workspace

To open the Canva add-on’s homepage, select the Canva icon on the side panel from anywhere in the Google Worksuite. From here, you can:

  • Log in or out of your Canva account,
  • Easily access your own recent designs,
  • Browse popular public enterprise templates and designs, and
  • Create new Canva designs

You can also access the Canva add-on from different areas of Google Workspace, such as Google Drive, Gmail, and Calendar.

Google Drive

To create new designs from Google Drive:

  1. On Google Drive, click the + New button.
  2. From the dropdown, hover over More.
  3. Select Canva.

To open files from your Google Drive on Canva:

  1. From anywhere in your drive, right-click any supported file type.
  2. From the menu, select Open with, then select Canva.
  3. The add-on will import this design into Canva, storing a shortcut to the new design in your drive. It should also direct you to the newly created version in Canva.

Gmail

To attach an existing design to a message on Gmail:

  1. Select the Canva icon from the bottom of the messaging panel.
  2. From here, you can browse your relevant designs or search for the specific design you'd like to attach.
  3. Upon selecting a design, the design URL and a thumbnail will be included in the current email message.

To attach a new design to a message on Gmail:

  1. Click the Canva icon from the bottom of the messaging panel.
  2. Select Create a design.
  3. Name the new design and specify a design type from the dropdown menu.
  4. Upon creating the new design, the design URL and thumbnail will be included in the current email message.

Google Calendar

To attach an existing design to an event:

  1. Select the event to which you’d like to attach a design and click the pencil icon (Edit event).
  2. Select the paper clip icon (Add attachment).
  3. From the dropdown, select Add Canva design to event.
  4. From here, you can browse your relevant designs or search for the specific design you would like to attach.
  5. Upon selecting a design, the design URL will be included in the current event.

To attach a new design to an event:

  1. Select the event to which you’d like to attach a design and click the pencil icon (Edit event).
  2. Select the paper clip icon (Add attachment).
  3. From the dropdown, select Add Canva design to event.
  4. Select Create a design.
  5. Name the new design and specify a design type from the dropdown menu.
  6. Select Attach design.

When attaching designs to emails or events, ensure that they are properly shared so your intended recipients can view them. For more information, go to Sharing designs with your team.
