Setting up group or class permissions
Setting up permissions in Canva helps admins control who can access certain features and content. It’s a simple way to make sure everyone has the right level of access and to prevent changes or actions that shouldn’t happen.
This page explains how permissions work, who can manage them, and how to assign them effectively.
What are permissions in Canva settings?
Permissions control who can access or take action on certain Canva tools, content, or features. Some permissions may include:
- Using AI-powered features like Magic Write or Magic Design
- Sharing and publishing options
- Accessing non-branded content
- Accessing apps or integrations
Only team owners and team admins (or school team admins for districts) have the ability to assign or update permissions.
Assigning permissions
Team admins on the Canva Enterprise, Canva District and Canva Campus plans can assign permissions to groups (e.g., “Marketing”, “Customer Support”, “Leadership”) to manage access more granularly.
You can assign permissions to both roles and groups (or classes for districts) via these steps:
- From the homepage, select your profile icon and select Settings.
- Go to the Permissions page. You’ll see different tabs for various Canva tools such as Magic and AI, Canva content, and so on.
- Select the tab you’d like to set permissions for.
- Within the dropdown menus, select which groups you’d like to give permissions to. You can choose between: Everyone, Select roles and groups, and No one. If you have no groups, you can start by creating them here.
- To enable a feature, select Everyone. This means everyone in your team will be able to access the feature. If you don’t want anyone from your team to access the feature, select No one.
- If you want only a specific group of people to access the feature, choose Select roles and groups. Please note that team admins will automatically be selected.
- Select Save.
The ability to assign permissions to select groups gives team admins granular control — for example, enabling only the "Marketing" group to access Brand Templates, or restricting AI tools to "Leadership."
Once you set permissions for a certain group, it will become a permission group. However, members can still continue to share content with these groups.
To ensure users aren’t inadvertently given access to permissions without the team admin’s explicit consent, only team admins can modify permission groups via the following actions:
- Inviting members via email
- Adding and removing members
- Updating the group’s name
Other actions, such as inviting members via share link and changing group members’ roles, will no longer be available. If a group no longer has any permissions assigned to it, it’ll go back to its original state, where group admins (or class admins for districts) can edit it again.
You can set up group permissions for the following features:
- Access: Create groups, Leave brand, View emails
- Magic and AI features: Ask Canva, Magic Write, Magic Design, Magic Edit, Magic Media, Magic Switch, Magic Insights, Dream Studio, Conversational AI, Code Lab, Canva AI, Dream Lab, Canva Code, Transform into Doc, Ask Canva for AI-generated design advice, Magic Activities
- Canva content: Template Library, Legally Safe Content, Granular Control Access to the Canva library for Photos, Audio, Video, Graphic, Sticker, Chart, Table, Frame, Grid, Shape, and other Elements.
- Share and Publish: Share Designs by Link, Share Designs to External Emails Share designs externally by link, Share designs externally by email, Publish to Website Domain
- Team content: Offline designs, Accept Copied Content, Copy content out of brand, Offline designs

Enabling AI permissions does not allow AI to train on your team’s or school’s content. AI training is managed within your Privacy Settings.
