Setting up permissions for your team


Choose who gets to publish, access templates, use apps, or upload media.

Permissions can be managed by Canva Teams and Canva Business administrators via web and mobile browser

  • For Canva Education, publishing is off by default. Ask your admin to enable it.
  • Publishing to Content Planner isn't available in multi-design documents yet. As a workaround, copy the page into a new, single-design document. Learn more about multi-designs.
  • Each design can be scheduled to one social media post at a time.

Restricting scheduling, publishing, or template access

  1. On the homepage, select your profile icon to open the menu.
  2. Select
    Settings.
  3. From the side menu, select
    Permissions.
  4. Under the Share and Publish section, set up the following by selecting their respective dropdowns:
    • Who can use Canva Print
    • Who can download designs or selections
    • Who can schedule posts in the Content Planner
  5. To restrict publishing to selected apps only, toggle on the Manage where your team can publish designs switch under the Apps and Integrations tab.
  6. Select Manage publish options and choose the team’s preferred publishing apps.

Restricting apps or uploads

  1. On the homepage, select your profile icon to open the menu.
  2. Choose
    Settings.
  3. From the side menu, select
    Permissions.
  4. Under Controls and Permissions, select the Controls tab.
  5. On Who can upload media from their own device? dropdown, choose between Everyone or team admins and brand designers.
  6. To add official third-party apps to add external media to designs, toggle on the Manage apps for your team switch. On Manage integrations for your team, select the Manage integrations button and choose the apps the team members can import from.

Canva Education: Enable student access to apps

In Canva Education, students may not be able to access some apps until you enable them. All social media and generative AI apps are disabled by default for students. Enable these apps before students can access them.

Enable student app access (Team admins):

  1. Go to Settings.
  2. Select Apps and integrations.
  3. Turn on the Manage apps for your team toggle.
  4. Select the apps you want students to access.

Important: Turning on Manage apps for your team impacts all apps in your account. Any app you want students to have access to must be enabled here.

What to expect: For Canva Education accounts, you’ll need to enable these apps before students can access them. Teachers and admins can access them regardless.

7. To allow team admins to transfer a departing member's content, make sure the Enable ownership transfer switch is toggled on under the Controls tab.

If you can’t see the Controls or Permissions tab and you’re a team admin, check if you’re in the correct team. To do so, click your account icon from the top corner of the homepage. Under Switch team, look for your team name. It should have a

next to it. If there isn’t, click on it from the list to switch to it.

Organization default permissions

If you're part of an organization with Canva Enterprise or Canva Education, your org admin can set default permissions that apply to all teams.

Note: For admins, refer to this Help Center article to manage your team’s permissions.

These organization defaults determine:

  • What team members can do by default across all teams
  • Whether team admins can override these settings for their individual teams

If you're a team admin and can't change certain permission settings, your org admin may have disabled team overrides. Contact your org admin to request changes.
