Use Canva AI 2.0 for Sheets


Create tables, edit data, and generate insights in Sheets using simple prompts.

What you can do with Canva AI 2.0 for Sheets

Canva AI 2.0 lets you work with data through natural language. Instead of editing cells manually, describe what you want to do, and Canva AI 2.0 can apply the change to your sheet.

You can use Canva AI 2.0 to:

  • Add text, numbers, currency, and dates to cells.
  • Create tables with rows and columns.
  • Fill in missing data based on patterns.
  • Format data as currency, dates, numbers, or text.
  • Sort and organise your data.
  • Create charts and visualisations from your data.
  • Summarise data and find key insights.
  • Translate content into another language.
  • Add, delete, or move rows and columns.
  • Generate formulas for calculations.

Use Canva AI 2.0 for Sheets

Open an existing sheet

  1. Open a design that contains a sheet.
  2. To create a new sheet, go to Canva Home, then select Canva Sheets.
  3. Select
    Canva AI 2.0 in the editor.
  4. Enter a prompt to create or add data to your sheet.
    • Example: "Create a budget tracker with columns for date, category, amount, and notes."
  5. Enter a prompt to organise or format your data.
    • Examples: "Fill in the empty cells in column B based on the pattern." / "Sort column A alphabetically." / "Format column C as US dollar currency with 2 decimal places."
  6. Enter a prompt to create a chart from your data.
    • Example: "Create a chart that shows monthly spending trends."
  7. Enter a prompt to summarise or analyse your data.
    • Example: "Summarise this data and highlight the main trends."
  8. Review the results in your sheet.

To undo a change, tap Undo.

Try example prompts

Tip: Be specific with your prompt. Instead of “format this column,” try “format column C as US dollar currency with 2 decimal places.”

Understand the limits for Sheets

Feature or limit

What to know

One sheet at a time

Canva AI 2.0 works on one sheet per prompt. It can't update multiple sheets at once.

Filtering, grouping, and hiding

These aren't supported with Canva AI 2.0 yet. Use the Sheets toolbar instead.

Formulas

Only some formulas are supported. For complex formulas, enter them in the formula bar.

Supported data types

Canva AI 2.0 works with text, numbers, currency, and dates. Media and some cell types aren't supported yet.

Region settings

Currency, date, and number formats may vary by region. You can adjust formatting after generation.

Charts and advanced features

You can create charts from your Sheets data using Canva AI 2.0. Bulk Create and resizing designs from Sheets data aren't supported yet.

Language availability

Canva AI 2.0 in Sheets is currently available in English locales only.

Got an unexpected result?

What can cause this

Your prompt may be too vague or missing details about the data, format, or structure.

What to do

  1. Try being specific about the cell range, format, or what you want the output to look like.
  2. If the result still isn't right, undo and try again with a more specific prompt.

Canva AI 2.0 made changes to the wrong cells

What can cause this

Your prompt may not have clearly named the cells or range to update.

What to do

  1. Press Ctrl+Z (Windows) or Cmd+Z (Mac) to undo the change.
  2. Enter a more specific prompt. For example: "Update cells B2 to B20."

A formula isn't working?

What can cause this

Only some formulas are supported, and complex ones may not behave as expected.

What to do

Try a simpler version, or enter the formula directly in the formula bar.

Canva AI 2.0 is slow or appears stuck?

What can cause this

Large datasets or complex prompts can take longer to process. Breaking your request into smaller steps usually helps.

  1. Refresh the page and try again.

Canva AI 2.0 can generate some formulas in Canva Sheets. More formulas may be added over time.Supported formulas include:
