Archive personal teams in Canva
Use Canva’s consolidation tools to archive users’ personal teams when they join your organisation.

What is personal team archiving?
Personal team archiving is part of Canva’s suite of advanced consolidation tools for Enterprise customers.
When a user signs up for Canva independently using their work email, they typically create a personal (solo) team. These teams often contain work-related designs but sit outside of the organisation’s control.
Once the user is affiliated with your Enterprise account and added to an organisation-managed team, their personal team is automatically archived, and they’re prompted to copy their content into the organisation-managed team (if permissions allow).
Why it matters
This feature ensures that:
- When users’ personal teams are archived, they transition from creating content in unmanaged teams to working within official organisation-managed teams. This gives admins better oversight and control.
- They can quickly resume work with minimal disruption, using copied content from their personal team (if permissions allow).
- Future work happens in a secure, collaborative environment with the right tools and oversight.
How it works
- When an organisation admin enables Personal team archiving, solo teams are archived for all existing managed users. Going forward, any affiliated user who joins a company-managed team will have their solo team archived automatically.
- Users retain access to their content, but can no longer create, edit, or share within the archived team.
- If your team permissions allow incoming copied content, users can easily bulk copy all their content into the organisation-managed team.

How do I enable personal team archiving?
Only organisation admins can enable or disable this setting. To turn it on:
- From the homepage, go to Settings.
- In the side menu, select the SSO and provisioning tab.
- Select the Personal team archiving tab.
- Toggle the Archiving switch on. Organisation admins can also turn this off at any time. Note: Turning it off won’t reverse any past archiving or undo subscription refunds—it only prevents future archiving.
Which teams can be archived?
A team qualifies for archiving if it meets all the following criteria:
- It’s a personal (solo) team with no other members added since creation
- Isn't subscribed via the App Store or Google Play (users must cancel mobile subscriptions themselves).
- It belongs to a user who's affiliated with your organisation and has joined a company-managed team
How do I check my permissions?
To confirm whether your team allows content to be copied in:
- Go to Settings for the teams that your organisation manages.
- Open the Permissions page.
- Under Team Content, check the setting: “Who can accept copied content from another team?”
- Set this according to your preference from the dropdown.
What If a user had a paid subscription on their archived team?
If a personal team is archived and the user joins a company-managed team, Canva will issue a pro-rated refund for any remaining time on their previous subscription.
Can I turn off personal team archiving?
Yes, as long as you are an organisation admin you can turn of personal team archiving. However, this does not un-archive any already archived brands and also does not undo any refunds that may have occurred. It only prevents future managed users’ personal teams from being archived.

Users will need to manually re-share any copied files within the managed team.
Can an archived team be restored?
Yes. If needed and approved by an organisation admin, you can contact our Support team to get help restoring a previously archived team.
