Keeps designs organized in Canva


Keeping your designs organized helps your team work faster, stay consistent, and easily find the content they need. Canva provides tools that help you organize your files, manage shared content, and keep your workspace tidy as your team grows.

Folders help you structure your designs by department, project, campaign, or content type.

Move a design into a folder

  • Drag and drop the design into a folder, or
  • Hover over the design, select
    More, then choose
    Move.

2. Name designs consistently

Naming helps your team find work quickly, especially in shared spaces.

Best practices

  • Use descriptive names (e.g., “Q4 Campaign Social Ad Draft”).
  • Include the project name, design type, and version.
  • Avoid names like “Untitled design” or “Copy of Presentation”.

Manage versions

  • Duplicate designs only when needed, and name versions clearly (“v1,” “v2,” “Final”).
  • Use
    Version history to track changes without creating extra copies.
  • Archive or delete outdated files to reduce clutter.

3. Use tags to organize and find designs

5. Use covers and thumbnails for quick identification

Visual cues help teams find designs faster in shared folders.

  • The first page of a design becomes its thumbnail.
  • Create consistent covers across templates or design collections for easy scanning.

6. Archive or remove unneeded designs

Clearing out outdated or unused designs helps keep your team’s workspace organized and reduces clutter in shared folders.

  1. Hover over the design or folder, then select
    More.
  2. Select
    Move to Trash, then confirm. Deleted designs stay in Trash for 30 days before they’re permanently removed.
  3. Alternatively, you can move drafts, past campaigns, or paused projects into a dedicated Archive folder. This keeps them accessible if you need to revisit them later. Adding tags can also help you find archived designs more easily when searching.

Troubleshooting

I can't move a design

  • You may not have folder-level edit permissions.

My folder is missing.

  • Check if you’re in the correct team or workspace.

I can’t share a folder

  • Only owners or editors can change sharing settings.

I can’t find a design

  • Check Trash, Archive, or other team spaces.
