Run an Account Audit in Canva


As an Org Admin or Team Admin, you can organize your Canva account to help your team focus and find what they need faster.

Here are the steps to help you audit and organize your Canva workspace.

Review and remove inactive users

Free up seats by removing people who no longer need access:

  1. Go to
    Settings.
  2. Select
    Usage report.
  3. Choose the team you want to audit.
  4. Select the Members tab.
  5. Sort the Last active column from oldest to newest.
  6. (Optional) Select the [token: DownloadIcon | size: M] icon (Download report) to save a copy of the report.

When you find inactive users, remove them to free up licenses and keep your team list current.

Remove unused templates

Start by identifying templates that aren't being used:

  1. Go to
    Settings.
  2. Select
    Usage report.
  3. Choose the team you want to audit.
  4. Select the Templates tab.
  5. Review usage data to find templates with little or no engagement.
  6. Remove or archive templates with low engagement to keep things organized.

Keeping only active templates helps your team work faster and stay on-brand.

Delete unneeded folders

Clear out folders your team no longer uses:

  1. Go to
    Projects.
  2. Review your folders.
  3. Select a folder, then choose Delete folder.

Delete unneeded groups

Remove groups your team no longer uses:

  1. Go to
    Settings.
  2. Select
    Groups.
  3. Choose the team you want to audit.
  4. Select
    (More icon), then choose
    Delete group.

Review external usage with domain reports (for verified domains)

If your domain is verified, you can see how Canva is being used outside your managed team:

  1. Go to
    Settings.
  2. Open the Domain usage report.
  3. Select See unmanaged accounts.
