Setting up design approval for organisations


Set up review workflows so team designs require approval before they’re published or shared. This helps keep content on Brand, high quality, and aligned with company standards.

As an admin, you can do this by:

  • Assigning who can submit designs: Choose specific people or groups to submit for approval.
  • Assigning design approvers: Choose specific people or groups to review and approve designs.
  • Setting approval rules: Apply design approval rules for everyone or just specific team members.
  • Exporting approval history: Download a record of your team's approval activity as a CSV file.

The features to add or remove group approvers and set up approval rules for specific members are available to Canva Enterprise only. Learn more about Canva Enterprise.

More granular design approval settings (Enterprise)

As an Enterprise admin, you can now control which designs require approval in more detail. In addition to turning design approvals on, you can choose whether approvals apply to:

  • All designs
  • All designs except selected Brand Templates (skip approvals for specific templates)
  • Selected Brand Templates only (require approval only for the templates you choose)

This helps you reduce approval bottlenecks by keeping low‑risk, pre‑approved Brand Templates out of the review queue—while still maintaining brand governance.

Once you’ve enabled the setting, admins and brand designers can manage approval settings for individual Brand Templates (where available).

This setting is available to Canva Enterprise only.

Step 1: Turn on the design approval settings

  1. From the homepage side panel, select
    Brand.
  2. Select the dropdown beside your brand kit name.
  3. Select
    Brand controls.
  4. On the Design approval, select the slider button to turn it on. It’ll turn purple.

Group reviewers can help speed up approvals. Multiple people will receive notifications when team members request design approval, but only one group member must approve the design.

If you still need to add or set up groups, here’s how.

Step 2: Assign members or groups as reviewers

You can choose who can submit designs for approval and who can review designs.

  1. To edit approval settings, select the
    gear icon next to the slider button.
  2. On the People tab, choose:
    • Who can submit designs for approval?
    • Who can be assigned to review designs?
  3. Close the window (X) when you’re done. Your changes save automatically.

Step 3: Set the rules for designs that need approval before publishing

Use the Designs tab to decide whether approval is required to publish and which designs require approval.

  1. From the Design approvals window, select the Designs tab.
  2. Under Is approval required to publish a design?, choose Optional or Required.
  3. Under Which designs require approval?, choose one:
    • All designs
    • All designs except selected Brand Templates
    • Selected Brand Templates only

Note: If you select All designs except selected Brand Templates or Selected Brand Templates only, a confirmation window opens that lets you turn approvals on or off for all existing Brand Templates by choosing:

  • Don't change
  • Require approval for all
  • Skip approval for all

4. Close the window (X) when you’re done. Your changes save automatically.

Export your team's approval history

As an Enterprise admin, you can export your team's approval history as a CSV file. The export includes design details, requester information, and approver or rejector details for each approval request. This can help you track approval activity across your organisation and maintain records for compliance purposes.

  1. From the homepage side panel, choose the Approvals tab.
  2. Select Download data.

Only Enterprise admins can export the team’s approval history.

Best Practices

  • Keep your approver list small: Too many approvers can slow things down.
  • Use clear naming and version control: This helps reviewers track changes easily.
  • Ask for clear, specific feedback: For example, “Change font on page 3” is more helpful than “Make it better.”
  • Set clear turnaround times: Let designers know when to expect a response.
  • Review approver permissions regularly: Especially important for teams working with sensitive content.

  • Can I choose which teams require approvals vs which don’t?
    • Yes, you can enable approvals by team or by user, depending on how your team is set up.
  • What happens to designs submitted without approval once approvals are required?
    • They’re saved as drafts or marked as pending. They can’t be published until they're approved.
  • Can approvers leave feedback?
    • Yes, approvers can request changes, leave comments, and designers can update and resubmit.
  • Does this affect previously published designs?
    • No, design approvals only apply after the feature is turned on. Previously published designs aren’t affected.
