Generate data in Canva Sheets using Magic Write


Canva Sheets offers three ways to use Magic Write.

Generate a Table from a Prompt

  1. Open a Canva Sheets file.
  2. Select a blank cell where the table should start.
  3. In the floating toolbar, select Actions, then choose Generate table.
  4. Enter a prompt (e.g., “Weekly project tracker for a marketing team”).
  5. Select Generate, then Insert to place the table.

Fill a range of empty cells with content

  1. Select a group of empty cells.
  2. Click
    Actions.
  3. Select
    Fill empty cells.
  4. Magic Write will suggest content based on the cell context.
  5. To customize the result, click More like this or This but..., then enter a prompt (e.g., “List five inspirational quotes.”).
  6. Press Enter or
    arrow up icon to regenerate the content based on your prompt.
  7. Select Insert to add the results to your sheet.

Apply Magic Write to existing cell content

  1. Select the cells you want to enhance.
  2. Click
    Actions in the floating toolbar, then choose
    Magic Write.
  3. In the prompt window, type your request (e.g., “List the top 5 largest cities and their population”).
  4. Press Enter or click the arrow up button to generate results.
  5. To refine the output, click More like this or This but..., then enter a new prompt (e.g., “List five inspirational quotes”).
  6. Press Enter to regenerate the content.
  7. When you're satisfied with the output, click Insert to apply it to your sheet.

Magic Write Selection Requirements

The range you select helps Magic Write understand the context of your data, but it must meet the requirements of the action:

  • For Fill Empty Cells, the range must only include empty cells.
  • For Generate Table and Magic Write, start from a blank cell or valid selection.

If the selection includes content where it shouldn't, you'll see an error and the action will not proceed.
