Collaborate, share, and publish your Canva Docs
You can collaborate on Canva Docs by tagging teammates, using suggestion mode, and managing sharing permissions. Once your doc is ready, download a copy or publish it as a website to reach a wider audience.
Collaborate efficiently by mentioning the people working on your document.
- Type in “@” then the name/s you’d like to tag. You may also press / to open quick actions and look for Mention.
- To allow notifications, select Send notification.
We’ll let the mentioned person know through email and homepage notifications. If the Send notification button isn’t available, grant them design access first.
Follow a collaborator in Canva Doc
Follow a collaborator to keep your view in sync while you're working together in a Canva Doc.
- From the toolbar, select the collaborator's avatar that you want to follow. If you don’t see them, expand the list of all active collaborators.
- You’ll see a message letting you know that you’re following them. You'll also see a border around the design that matches their avatar color.
- To stop following a user, select Stop, or select the user from the toolbar.
- Editors and viewers can all follow collaborators.
- Following works across pages. If the collaborator you're following moves to another page, your view follows automatically.
- If the collaborator you're following disconnects, you'll see Follow again and Dismiss. If they don't reconnect within two minutes, your follow session ends automatically.
Use suggestion mode
Track changes and provide real-time feedback to a document using the Suggestion mode.
Suggestion mode is different from comments. Learn more about Add, delete, and resolve comments.
- From a menu bar above the editor, click the Editing dropdown.
- Select Suggesting.
- Add your suggested changes by adding, deleting, or replacing the content.
Changes you can suggest directly
- Add, delete or move elements
- Add, delete, or replace texts
- Update text formatting (font size, bold, etc.)
- Add or delete spaces
Your suggested changes will be highlighted in blue. Suggestions added by collaborators in your document will be highlighted depending on your cursor color.
Resolve suggestions
To resolve suggestions, select the highlighted suggestion, then click the check icon to accept the suggestion or the cross icon to reject it.
View resolved suggestions
To view resolved suggestions, just click the comment icon from the top corner of the editor. Click the filter dropdown, then select Resolved.
Share Docs
Collaborate with others by setting permissions and sharing access to your Doc.
- On the editor menu bar, click on Share.
- Use the dropdown to choose the sharing permissions for your doc.
- Click on Copy link.
If you have or are in a team, you can also share designs with your team.
Mention other users directly within Canva Docs for better and more efficient collaboration. To do this:
- Type "@" or "/mention" and type the user’s name or email address.
- Select the user you want to mention from the dropdown.
- Ensure that the user you tagged has access to your Doc. Click the user you mentioned and select Share this design.
- From the dropdown, select your preferred access for the user. Choose between Can edit, Can comment, or Can view.
- Select Share.
- Then click Send notification.
Download Docs
Download and save a copy of your Canva Docs as a PDF or DOCX file.
- On the editor menu bar, click on Share.
- Click on Download.
- Select PDF Standard or DOCX file type.
- Choose the document size you want to download in.
- Click on Download.
You can only download Canva Docs as a PDF or DOCX file. We’re working on adding more download options in the future.
Export Docs as presentations
Exporting in PPTX is not yet available in Canva Docs. Instead, you can turn your document into a presentation and download your design in PPTX. Check Converting Canva Docs into Presentations to learn how.
Publish Docs to a domain
Publish your Docs as a website to share information with a broader audience.
- From your Canva doc, add your draft or select Quick Actions next to your text cursor or type in / for more document options. To help with content creation, you can use Magic Write.
- If all looks good, select Share.
- Select Website.
- Choose how you want to publish your doc depending on your domain options.
After publishing the Canva doc to a domain, you can use it as your homepage or link it to your website's homepage if you've created one already.
When you publish your doc to a View-only link or a web domain, the published version keeps the same page format you see in the editor.
